2020-7-9 Outreach Committee EVENTS & OUTREACH SUBCOMMITTEE  AGENDA Thursday, July 9, 2020 5:00 p.m. 33 E. Broadway Ave Meridian, ID 83642 Meeting Room A 1. Roll Call x_ Maria Tzompa, Subcommittee Chair x_ Leslie Mauldin x_ Jenifer Cavaness-Williams __ Michelle Glaze 2. Information Regarding COVID-19 Impact on Events- Garrett White (10 min) G. White informed the Commission that any events over 50 attendees are suspended until Ada County returns to Stage 4. If the Subcommittee doesn’t want to postpone the events, then it is best to think innovatively on how to limit events down to 50 people and still create good experiences for the community. The Subcommittee began brainstorming creative alternatives for the events:  Chalk Art Competition online- chalk your own sidewalk and post pictures with a hashtag on social media  Make Concerts on Broadway a ticketed event, then stream the concert for the rest of those interested  Do an in-person viewing of Concerts on Broadway and a remote viewing party at another downtown business The Subcommittee decided to move forward with both Concerts on Broadway and Art Week by adjusting the formats for limited audiences using the ideas brainstormed above. 3. Determine Art Week Slogan (5 min) The Subcommittee reviewed the three highest voted slogans for Art Week. The members debated the slogan options and discussed a desire to keep the slogan short and sweet, but impactful. M. Tzompa suggested Art with heART with the word ‘art’ from ‘heart’ in the shape of a heart. The other Subcommittee members unanimously agreed. 4. Confirm the Themes Assigned to Each Day of Art Week (5 min) To develop, advance and nurture all facets of the arts to enhance the quality of life for Meridian residents and its visitors The Subcommittee members reviewed the themes of “Drama and Dance,” “Letters and Literature,” and “Visual Arts.” A. Belnap suggested that for each of the themes, the Subcommitte comes up with 3-5 classes for each day- moving the concept of Art Week from events-based to class-based. She said this would help the Subcommittee manage Art Week even in the midst of the COVID-19 break outs. The Parks & Rec department already has a registration system that could easily support the classes. The Subcommittee agreed with the idea. The members brainstormed many ideas for classes on the themed days including:  Dance (M. Tzompa knows dance teachers)  Theater (Treasure Valley Children’s Theater is an option)  Class for children’s dance  Line Dancing  Poetry class/slam poetry  Paint & Sip classes  Ukele  Harmonica  Singing lessons L. Mauldin suggested that the instructors are given the responsibility or option of virtually broadcasting their class. She also recommended that loud dances like tap dance or clogging is not virtually streamed because of the loud noises. A. Belnap will create a google doc with all the classes the Subcommittee brainstormed and make a space for the Subcommittee members to list all their contacts. In the next meeting, the Subcommittee will review the class list and make assignments for who is going to contact who. L. Mauldin suggested that the google doc be sent to the entire Commission. 5. Tiny Art Exchange Proposal- Brittany Hall (7 min) B. Hall reviewed her proposal with the Subcommittee. The Subcommittee wanted to be involved with her idea and discussed the possibility of doing this during Art Week. B. Hall stated that she envisioned this to be an ongoing project. A. Belnap said that she believed the Art Exchange might be confusing when paired with the Art Drop and suggested that this project could be a spring time project. After more discussion, the Subcommittee agreed to return to this project and reach back out in the spring time. 6. Art Walk Planning- Jay Robertson (7 min) J. Robertson presented his idea and the Subcommittee discussed if this event was still possible in the midst of the pandemic, or if this idea needed to be pushed back to next year. The Subcommittee decided that this was still possible as long as attendance was kept under 50 people. Some avenues for limiting attendance is to segment the time by half hour or to create tickets. A. Belnap informed J. Robertson and the Subcommittee that permitting would be in order to use the sidewalks and to allow artists to sell artwork. A. Belnap will also check with Emily Kane, legal counsel, to verify if an application process needs to be put in place for artists to be selected for the Art Walk. The Subcommittee decided to move forward with this project and discuss again at next meeting. 7. Outline Activities for Each Day of Art Week (10 min) a. Make assignments for contacting vendors/agents This agenda item was discussed during agenda item 4. 8. Discuss Art Week Sponsorsips (10 min) Due to time, M. Tzompa tabled this agenda item for next meeting. 9. Update on Concerts on Broadway Planning (5 min) This topic was discussed mostly during agenda item 2. A. Belnap will look into the possibilities of moving Concerts on Broadway virtually by contacting the sponsors, bands, and sound production. 10. Next Meeting: August 13, 2020 5:00pm The Subcommittee agreed that it is necessary to meet earlier than August 13. Next meeting will be Thursday, July 30, 2020 at 3:00pm. 11.
