2020-05-28HISTORIC PRESERVATION COMMISSION MEETING Thursday, May 28, 2020 at 4:30 PM Virtual Meeting 1. Adoption of the Agenda J. Nary made motion to adopt agenda, seconded by J. Ault. All ayes. 3. Approval of Minutes [Action Item] A. Minutes from April 23, 2020 Regular Meeting J. Nary made motion to approve minutes with an amendment. J. Nary noted that the meeting was a virtual meeting, not located at City Hall. Motion seconded by J. Ault. All ayes. 4. Approval of the Monthly Financial Statement A. Financial Statement 4/1/2020- 4/30/2020 J. Nary made motion to approve, seconded by J. Ault. All ayes. 5. New Business [Action Item] A. Future Social Media Efforts A. Belnap updated the commissioners on guidelines given to the Commission by Communications Manager, Shandy Lam. Guidelines include appointing a commissioner(s) to be the designated social media manager(s) for the Commission. The social media manager(s) will create monthly content calendars for the Commission’s posting on the City social media pages. If the posts are well received, then the Commission can transition to their own social media pages. J. Nary brought up questions such as what to do with the currently inactive history pages, how will the Commission know that it is time to transition to their own independent pages, how regularly can the Commission post on City pages, what analysis has been done on the City pages to learn the best days and times for interaction on social media. J. Ault provided feedback regarding the difficulty of seeing posts on the 24 hour stories. J. Nary and J. Ault volunteered to act as the social media managers for the Commission. J. Evarts volunteered that he has employees that can work with the social media managers for graphics as needed. A. Belnap will set up a meeting with J. Nary, J. Ault, and Shandy Lam to get answers to their questions so they can move forward with all the information they need. B. Reallocation of SHPO Grant Money The Commission considered the now-flexible grant funds awarded to the Commission from the State Historical Preservatio Office. The $700 could be used to send commissioners to the virtual NAPC conference and/or put toward the Meridian Speedway National Registry project. The Commission considered who would be interested in attending the NAPC conference and the funds that have already been designated for attending conferences in the Commission budget. The Commission decided to use the previously designated funds from the Commission budget for commissioners to attend the NAPC conference and joining the flexible SHPO grant funds with the Meridian Speedway National Registry project. 6. Old Business A. [Action Item] Walking Tour Panel Replacement A. Belnap reviewed the quotes for the panel replacement and the walking tour brochures with the commissioners, along with the current status of the Commission budget. She pointed out that according to the quotes and the budget, there is only room for one of the projects in the budget. The Commission suggested looking into more printing companies to find alternative pricing and materials. B. Historic Walking Tour Brochures The Commission is open to looking at alternatives for the Walking Tour brochures, including folded map-style brochures and thinner, less glossy paper. A. Belnap will return next month with more quotes from other printing companies. document it as a Registry site. A. Belnap will look into the cost of the sign in order to have an accurate projection for the cost and budget for this project. A. Belnap informed the Commission that TAG sent in their formal proposal and the formal agreement will be ready for final motion and approval at next month’s meeting. B. Preservation Month Posts Report A. Belnap summarized the positive community reactions to the Preservation Month social media posts. 8. Next Meeting: June 25, 2020 B. Nary informed the commissioners that there is no set date for returning to in-person meetings. A. Belnap will keep the commissioners updated. J. Ault made motion to adjourn meeting, seconded by J. Nary commented that the Meridian Speedway will need a sign/post to All materials presented at public meetings become property of the City of Meridian and will be included in the official record of the meeting.
