RE: Use of Library Space
Dear Mr. Hickey, Ms. Jeuou and 11dr. Smith:

You have requested that the Meridian Historic Preservarion Commission, the Meridian
Historical Society and .the- Meridian History Foundation be permitted to use space in the Old
Town Branch Library located at 18 E. Idaho Avenue in Meridian. 'You have informed us that the
space would be used to store trtateria?s pertaining to the activities of your organizations and to
house filing cabineu, a desk or table, and a telephone. It ~~ also our understanding that your
organizations' volunteers would work in the space with various documents and materials which
relate to matters of historical significance, and tl--at the telephone would be on a separate line
from that of the Library.
Based upon .the information you have provided us, we believe that your request is
consistent with the Meridian Library District's mission, and we are pleased to make space
available to your organizations with the following understandings:
• The Library cannot be responsible for ensuring.eafe keeping of the organizations'
items and material6;
• The organizations shall be responsible for installation and maintenance of
telephone service. The Library shall have no obligation to pay any telephone
charges; -
• The telephone shall be configured so that it does not disrupt Library operations;
• The volume of.items and materials should be consistent with the space the. Library
can make available;
• The organi2atiorlS shall provide their o~vn ogee supplies;
• Access to the space will be limited to those times when the branch is open to the
public;
• The Library shall be able to remove and dispose of any items or materials that the
organizations might abandon;
This arrangement may be terminated whenever the Library detennines it
necessary or appropriate to do so with the organizations then removing all of their
items and materials within thirty (30) days of notification o; termination of this
arrangement;
• The organizations' activities shall not disrupt Library operations and be in
accordance with I.,ibrary policies, practices and procedures; and
The organizations, their volunteers and their agents will be responsible for any
damages sustained by the Library as a result of their activities.
A copy of the Meridian Library District Policy Statement is enclosed for your
information. Please have your volunteers who will be in the Library review it so that they will
understand the envirotunent in which we operate.
